Please be aware that you must agree to these terms before commencing fundraising activities for Magpas Air Ambulance. By signing up to take part in a challenge, you agree to comply with these terms and conditions.

The event

  • The event is not organised by Magpas Air Ambulance but by a third party and each event participant will be required to register with the event organisers directly via the means provided by Magpas Air Ambulance
  • Participation in the event as a Magpas Air Ambulance participant is subject to these terms and conditions in addition to the event organiser’s own terms and conditions, which must be fully complied with at all times

Participation

  • All participants must be over the age of 18 on the day of the event unless the event organiser’s terms and conditions state a different minimum age limit
  • We ask that you pay a non-refundable registration fee to Magpas Air Ambulance at the time of registering (this amount can be found on the individual Magpas Air Ambulance event webpage). Payment is made online by credit or debit card.
  • Each participant must also register directly with the event organiser at least two weeks before the event organiser’s advertised registration deadline. Magpas Air Ambulance reserves the right to withdraw the place of any participant if they have not registered with the event organiser in accordance with this condition and to offer their place in the event to another applicant. If a participant loses their place in the event under this condition then they will not be entitled to any refund of the registration fee.

Registration and fundraising

  • All fundraising activity undertaken as part of the event must be for the benefit of Magpas Air Ambulance only and fundraising must not be given to or shared with any other organisation (unless agreed prior to registering or if the event is being jointly organised with another charity)
  • Sponsor forms can be provided to the participant upon request and an online fundraising page can be set up using JustGiving
  • We ask that you collect all sponsorship monies promptly and pay them to us within six weeks of the event taking place. Details of how to pay in any monies will be provided by your contact at Magpas Air Ambulance on request. Please note that all online money donated to your online fundraising page will automatically be transferred to Magpas Air Ambulance and doesn’t need to be sent to us after the event.
  • You understand and agree that as your fundraising is ‘in aid of’ Magpas Air Ambulance and is undertaken independently of the charity the charity will not accept any responsibility or liability for your fundraising events or activity
  • You are fully responsible for the fundraising activity and it is your responsibility to organise all aspects of it. You are also responsible for any costs, expenses, or taxes incurred or arising in connection with your fundraising activity.
  • Whilst fundraising on behalf of Magpas Air Ambulance and participating in the event you will be acting as an ambassador for Magpas Air Ambulance (especially if wearing Magpas Air Ambulance branded clothing). We therefore ask that you conduct yourself accordingly and do nothing to bring the charity into disrepute. You must comply with any specific event rules and instructions from the event stewards.

Health and fitness

  • All Magpas Air Ambulance participants take part in the event at their own risk
  • All Magpas Air Ambulance participants agree that, as far as they are aware, they are sufficiently fit and physically able to compete in the event and, to the extent that it may be necessary, they have sought and relied upon any medical advice before the event date. It is each Magpas Air Ambulance participant’s own responsibility to assess their fitness and to ensure that they participate only if sufficiently fit. Magpas Air Ambulance participants who have any doubt about their health or have a medical condition that could be affected by exercise should obtain their doctor’s approval before participating in any event. Should any medical or physical condition arise prior to the event which is likely to affect a Magpas Air Ambulance participant’s ability to compete in the event, the Magpas Air Ambulance participant should withdraw from the event.

Cancellation and changes to the event

  • You agree that should the event organiser cancel or postpone the event, their terms and conditions will apply.
  • Magpas Air Ambulance will endeavour to communicate any change to you as soon as possible
  • Should the event be cancelled through no fault of the participant, Magpas Air Ambulance will offer a full refund of the registration fee as well as offering the return of any sponsorship.
  • Refund requests must be made in writing and refunds will be refunded by Magpas Air Ambulance directly via the original payment method
  • Magpas Air Ambulance shall not be responsible for any additional costs relating to your charity place including (but not limited to) accommodation, travel or sustenance
  • Registrations to participate in the event are non-transferable to another year unless stated otherwise. Participation in the event is personal to each Magpas Air Ambulance participant and Magpas Air Ambulance
  • Participants are strictly prohibited from swapping, selling or transferring their place in the event or allowing any other person to participate in their place.

Images and consent

  • You must obtain approval from Magpas Air Ambulance before approaching the media or celebrities to support your fundraising for the event
  • At events, Magpas Air Ambulance may take photographs and/or videos of participants. You agree that we can use any photographs, videos and other content taken at the event in which you or your friends and family appear on our social media channels and/or for Magpas Air Ambulance marketing materials, advertising, and publications.
  • You have the right to say you would prefer not to have your photo used or when you want us to stop using the picture or video. To do so please contact fundraising@magpas.org.uk
  • We will not include personal contact details on our website, video, social media or other marketing materials.
  • The Magpas Air Ambulance charity logo and other logos used by us are legally registered trademarks in the UK. You may not use Magpas Air Ambulance’s logos without our prior consent. To apply for permission please contact us at fundraising@magpas.org.uk. Magpas Air Ambulance reserves the right to require materials and logos to be removed from use if we believe such materials are not in our charity’s interest.

Data protection

  • Each Magpas Air Ambulance participant agrees that information provided to Magpas Air Ambulance in connection with events may be used by Magpas Air Ambulance in accordance with prevailing data protection legislation
  • Magpas Air Ambulance will use the information provided by Magpas Air Ambulance participants to register applicants for events, process registration applications and manage the Magpas Air Ambulance participant’s involvement in the event. Magpas Air Ambulance will keep the Magpas Air Ambulance participant up to date with Magpas Air Ambulance activities or provide any other information in accordance with their stated preferences.
