We are
Magpas Air Ambulance of Barnwell Road, Enterprise Campus, Alconbury Weald, Huntingdon, PE28 4YF and our website www.magpas.org.uk collects, uses and is responsible for certain personal information about you.
We are registered with the UK supervisory authority, Information Commissioner’s Office (ICO), in relation to our processing of personal data under registration number Z1006077.
What we do
Magpas Air Ambulance is a charity, based in Cambridgeshire, which provides critically ill and injured patients with lifesaving care 24/7.
Controller
Unless we notify you otherwise, we are the controller of the personal data we process about you. This means we decide what personal data to collect and how to process it.

The purpose of this privacy notice is to explain what personal data we collect about you and how we process it. This privacy notice also explains your rights, so please read it carefully. Who this privacy notice applies to
This privacy notice applies to you if:
- You visit our website
- You purchase goods from us
- You enter our lottery, raffles or have a regular subscription
- You send us an enquiry
- You donate to Magpas Air Ambulance, take part in one of our fundraising events, or otherwise raise money on our behalf
- You attend training sessions delivered by us
- You pledge to leave a gift in your will to Magpas Air Ambulance
- You sign up to receive newsletters and/or other promotional communications from us

What personal data is
‘Personal Data’ means any information from which someone can be identified either directly or indirectly. For example, you can be identified by your name or an online identifier.
Personal data we collect
The type of Personal Data we collect about you will depend on our relationship with you. For the type of Personal Data we collect see the table below in the section entitled ‘Purposes, lawful bases and retention periods’.
How we collect your personal data
We collect most of the Personal Data directly from you in person, by telephone, text or email and/or via our website.
However, we may also collect your Personal Data from third parties such as:
- Donation platforms when you set up a fundraising campaign that benefits Magpas Air Ambulance
- Event organisers who arrange events on behalf of Magpas Air Ambulance
- Will provider platforms where you agree consent to be contacted from Magpas Air Ambulance
- Organisations that arrange training sessions with us at our premises and provide attendee details
- Organisations that provide photographs taken by them at training sessions (where appropriate consents have been obtained)
Supporter research and profiling
We may analyse information we hold about you, such as your donations, event participation, lottery activity and interactions with us, to understand how our supporters engage with Magpas Air Ambulance and to improve our fundraising activities and communications.
We may use specialist data analytics tools or service providers to help us identify patterns of engagement and groups of supporters who may be interested in particular fundraising activities, events or communications.
Where we carry out this type of analysis or profiling, we will do so on the basis of our legitimate interests in understanding and developing our relationship with supporters and raising funds effectively in support of our charitable objectives. Where we rely on legitimate interests, we will consider the impact of the processing on your rights and interests.
Profiling may be used to help us tailor or prioritise communications or fundraising activities. We do not currently use solely automated processing to make decisions about you that produce legal or similarly significant effects.
You have the right to object to processing for direct marketing at any time. You may also have the right to object to certain other processing based on our legitimate interests. Further information about your rights is set out in the section titled 'Your rights and how to complain'.
Purposes, lawful bases and retention periods
We will only use your Personal Data where we have a lawful basis to do so. The lawful basis we rely on depends on the purpose for which we are processing your information.
Where we send direct marketing by email, SMS or other electronic means, we will also comply with the Privacy and Electronic Communications Regulations 2003 (PECR). Depending on the circumstances, we may rely on your consent or, where the relevant conditions are met, the charitable purposes soft opt-in available to charities under PECR.
Where we rely on legitimate interests under UK data protection law, we will consider whether our interests are overridden by your interests, rights or freedoms.
You can change your communication preferences or opt out of direct marketing at any time. You can also object to the use of your personal data for direct marketing at any time.
Most commonly, we will use your Personal Data in the following circumstances:
Sharing your personal data
We may share your details with trusted third-party suppliers to meet the requirements of any enquiries you have made or the services that concern your area of support. We will also share personal information with law enforcement or other authorities if required by applicable law. Relationships with such suppliers are always governed by contracts with appropriate clauses to protect personal data.
We may share your personal data with third parties where necessary for the purposes described in this privacy notice. These may include our service providers, professional advisers, regulators, law enforcement agencies and other organisations where we are legally required or permitted to do so.
Third party processors include:
- Software as a service (SaaS) IT providers that provide our donor management platform
- SaaS IT providers that provide our communication tools
- Companies that support our communication strategy
- Our lottery service provider
- Companies that process donations (such as direct debits) on our behalf
- Data analytics and supporter insight providers that help us understand supporter engagement and fundraising opportunities
- Professional advisors, regulatory and public authorities where necessary
International transfers
Some of the organisations we use to provide our services may process personal data outside of the UK.
Where we transfer personal data outside of the UK, we have taken appropriate steps to ensure that the personal data processed outside the UK has an essentially equivalent level of protection to that guaranteed in the UK. We do this by ensuring that:
- Your personal data is only processed in a country which the Secretary of State has confirmed has an adequate level of protection (an adequacy regulation), or

Where required, we will also consider whether additional measures are necessary to ensure that the personal data receives an appropriate level of protection.

Right to be informed
You have the right to know what personal data we collect about you, how we use it, for what purpose and in accordance with which lawful basis, who we share it with and how long we keep it. We use our privacy notice to explain this.

Right to rectification
You have the right to have any incomplete or inaccurate information we hold about you corrected.
Right to erasure (commonly known as the right to be forgotten)

Right to object to processing
You have the right to object to us processing your personal data. If you object to us using your personal data for marketing purposes, we will stop sending you marketing material.

Updating your communication preferences will not affect administrative or service communications that we need to send you in relation to donations, Gift Aid declarations, lottery memberships, event registrations or other transactions.
Right to restrict processing
You have the right to restrict our use of your personal data.
Right to portability
You have the right to ask us to transfer your personal data to another party.
Automated processing and profiling
We may use automated systems to help us manage supporter communications, improve supporter journeys, and better understand supporter engagement and fundraising opportunities. This may include analysing supporter data to help us tailor communications and fundraising activity.
These systems do not make decisions that produce legal or similarly significant effects for individuals without human involvement. Where automated analysis or profiling is used, appropriate safeguards and oversight are in place.
Automated decision-making is the process of making decisions by automated means with or without any human involvement. We do not make decisions about you based solely on automated processing that would have legal, or similarly significant, effects for you. We will notify you if this position changes.
Right to withdraw consent
If you have provided your consent for us to process your personal data for a specific purpose, you have the right to withdraw your consent at any time. If you do withdraw your consent, we will no longer process your information for the purpose(s) you originally agreed to, unless we are permitted by law to do so.
Right to lodge a complaint

We would encourage you to contact us in the first instance regarding your complaint so that we have an opportunity to investigate and resolve your concerns. You also have the right to complain directly to the Information Commissioners Office (ICO).
How to exercise your rights
You will not be required to pay a fee to access your personal data. However, where a request is manifestly unfounded or excessive, we may charge a reasonable fee to cover administrative costs or refuse to act on the request. We will explain our decision if this applies.
If you wish to exercise your rights, you may contact us using the details set out below within the section called ‘How to contact us and our Data Protection Officer’. If you exercise any of the above data protection rights, we will normally respond to your request without undue delay and within one month of receiving the request and any information reasonably required to confirm your identity.
In certain circumstances, we may extend the time limit were permitted by law. If we need to do this, we will explain why and tell you when you can expect to a response.
Children’s privacy
Our services and activities may involve individuals under the age of 18. Where we process personal data relating to children, we will do so in accordance with applicable data protection law and will apply appropriate safeguards.
Where consent is the lawful basis for processing a child's personal data and applicable law requires parental or guardian consent, we will take appropriate steps to obtain or verify that consent.
